EFSTAQ brings quality and process management, CRM, invoicing and communication together on one shared data model — instead of five separate systems that nobody keeps in sync.
The CRM system does not have access to invoice data. The process manual is available as a PDF document on the network. Training materials are provided in the form of an Excel spreadsheet. Each interface requires manual data entry, which introduces potential errors during subsequent audits.
The same customer is managed within the CRM, invoicing system, and project list functionalities, resulting in three separate records.
The process is documented, but there is no evidence to demonstrate that it was actually executed as described. During an audit, the proof of execution is more important than the documentation itself.
We understand that the process is not yet fully defined. Currently, only one individual is responsible for managing this, and they are currently on vacation.
Each module functions independently. The benefits arise from their ability to share the same master data: a business partner, a role, and a process.
Processes are not described; they are executed: through process cells with defined inputs and outputs, responsibilities according to RASCI (Responsible, Accountable, Consulted, Informed), and a complete run log. Each execution generates its own record.
Unified business partner management: Instead of separate lists for customers, suppliers, and prospects, EFSTAQ provides a single platform with the ability to assign multiple roles to each party. This ensures a consistent history across all modules.
Issuing invoices, managing outstanding payments, and electronic invoice sending are all handled within the same system where your customer and project information are already stored. This ensures compliance with B2B e-invoice regulations.
Training courses, customer meetings and internal discussions within your own branded platform – without relying on third-party providers, and ensuring that your participant data remains within your organization.
The Connect app provides access to spaces, groups and notifications on your mobile device – for users who do not spend their entire workday at a computer.
From each recording, the platform generates the assets that would otherwise be created manually – transcript, summary, cut, publication. → This streamlines your workflow and reduces manual effort.
These modules are available and operational, but will be configured specifically for each project. We will demonstrate their functionality through a practical case study during the demo, rather than presenting them as a feature list.
Capture, assign, and track inquiries → with a history associated with each business partner.
Project overview and order management based on a single set of master data.
Employee roster, qualifications, and skill gaps per role.
Inventory management, item tracking, and availability checks for manufacturing companies.
The key difference lies not within the individual modules, but rather beneath them: all modules operate on the same master data. → This ensures consistency and avoids duplication of information across different applications.
The same company can function as a customer, supplier, and training participant – without requiring separate entries or creating conflicting addresses.
What is defined within the Process Builder will be executed and logged. The audit record will be generated as a byproduct, not as a separate project. → This ensures that all relevant data for auditing purposes is automatically captured during process execution.
User roles are consistent across all modules. Users who have restricted access within the CRM will also have limited access to invoices.
We prefer to clearly describe what you will receive, rather than using terms that may not be accurate in practice.
Operation within a German data center. No data transfer to third countries for standard operations.
EFSTAQ is a jointly operated platform with strict separation based on organization and roles – designed this way to avoid the impression of an isolated, standalone solution. We believe this approach offers greater transparency compared to offering a completely independent system.
Your master data, documents and process records can be exported at any time in an open format. This ensures you are not locked into a specific data format.
Continuous transport encryption is implemented. Accesses are logged. We will discuss specific encryption levels in detail during the project phase, rather than providing general recommendations.
To enable you to plan effectively, based on confirmed information and anticipated needs.
We will review your current processes → focusing on specific examples, without presentations.
You can observe a realistic representation of your own business processes within the system, not a hypothetical example.
A defined area will be implemented, with clear criteria for success.
Additional modules will be added based on the results of the pilot program, not before.
Please contact us briefly to learn more about EFSTAQ. We will then contact you with a proposed meeting time – without prior notification.

No. The standard approach is to begin with a clearly defined pilot project – typically focusing on process management or CRM – and then expand functionality subsequently. Because all modules utilize the same core data, this phased implementation avoids any migration gaps.
EFSTAQ is hosted within a German data center. The platform operates as a shared system with strict separation based on organizations and user roles. You can export your data at any time in an open format.
The accounting module generates and sends outgoing invoices in a structured electronic format. We will clarify whether your specific invoicing process is fully covered by this functionality during the project, based on the types of documents used. We are deliberately avoiding providing a general answer at this stage.
Custom Processes. The Process Builder is specifically designed for this purpose: Your workflows are represented as executable process cells, with your defined roles and approvals. Templates are available as a starting point, not as mandatory requirements.
The price depends on the scope of modules and the number of users. Given that implementation is project-specific, we do not provide fixed prices that would likely be inaccurate. You will receive a specific quotation after an initial consultation.
The same technology serves two distinct target groups. The platform originated in the trading environment and is used daily for webinar hosting, app functionality, and process management under heavy load. EFSTAQ represents the brand under which we offer this solution to businesses.
